Pabau already powers the UK’s largest specialist vein clinic group — 49 clinics running every consultation, EVLA list and follow-up through the platform, completing over 1,000 clinical forms a day. The pathway in this document is not a design exercise; it is in production.
Forms are the product, not a bolt-on
Conditional logic, embedded policy text, version-dated consent, e-signature on an iPad, and values that carry from one form to the next — a VTE score taken at consultation surfacing again on the theatre checklist. That is what makes a documented pathway possible.
Enquiry to discharge, without a second system
Online booking, pre-arrival questionnaires, the duplex report, theatre documentation, stocking orders, aftercare calls, discharge letters, insurer and NHS billing — all on the same patient record, in the same diary, reported from the same place.

Below is exactly how the pathway runs on Pabau, and the forms we will build for you at each stage. The packs are named as your consultants would name them — A-pack at consultation, B-pack in theatre, C-pack at review — and every one is adapted to your own wording, policies and letterhead.
The history arrives before the patient does
The patient books a New Consultation online — private consults at around 30 minutes, ulcer consultations on a longer slot for the ABPI test. The moment the booking is made, Pabau sends the Medical History – Leg Veins questionnaire to complete at home: which leg or legs, symptom duration and a severity score, plus the classic symptom set. Red-flag screening covers personal and family DVT/PE history, phlebitis, blood thinners, allergies, migraines, smoking and previous vein treatment. Female patients are screened for pelvic congestion syndrome, pregnancy and breastfeeding — with your clinic policies shown inline, right where the question is asked — and practical safety questions such as planned long-haul flights carry your no-fly policy alongside.
The A-pack, and one packaged quote
The consultant opens the appointment with the full history already on screen, scans the patient, and completes five short forms. A1 Psychological Assessment carries a built-in stop rule — any “yes” refers to the Medical Director and no treatment is booked. A2 VTE Risk Assessment runs three-step scoring through to a prophylaxis plan, and the result is saved to the patient record. A3 Stocking Order captures size, length, colour and made-to-measure with the sizing chart embedded. A4/A5 hold the structured duplex findings and the formal report. The patient leaves with one packaged, all-in quote — “EVLA one leg ± sclerotherapy” as a single service, a single price and the right theatre slot length — and their treatment booked.
The B-pack, with the VTE decision carried forward
On arrival the patient signs on an iPad: the Leg Vein Consent Form with procedure checkboxes, patient signature, consultant counter-signature and a version date, and the Treatment Contract, versioned by price year so the patient always signs the prices they were quoted. Your theatre team then runs the B-pack. B1 WHO Checklist Sign-in covers identity and DOB, ASA score, pregnancy, breastfeeding and flight checks and the team briefing — and automatically pulls in the VTE risk recorded at consultation, prompting a review and a Clexane decision. No hunting through notes. B2 logs laser device settings and energy delivered, B3 the prescription chart, B4 the treatment notes and procedure sign-out, completed before the patient leaves theatre. Before they go home the first follow-up is booked and stockings are supplied against the A3 order.
Nobody falls out of the pathway
The next morning Pabau prompts the Courtesy Call – Day After Treatment form, so someone from your team checks on every single patient — logged, every time. At six to eight weeks the C-pack runs the review: C1 sign-in checklist, the review scan, C2 notes and sign-out, and the C3 Follow-up Medical Report. The patient is discharged, or booked for further foam or microsclerotherapy at your follow-up rate.

Course pricing built into the diary
Thermocoagulation gets its own eligibility questionnaire, dedicated contract and consent, and the T-pack — consultation notes, psychological assessment, treatment notes and further-treatment form — with “session 1 of 2” course pricing built into the diary.
The longer ABPI slot, screened in advance
Eligibility screening questions and the Ulcer Assessment Notes, paired with the longer ABPI consultation slot so the diary reserves the right amount of time before the patient arrives.
Two price lists that never cross
MDT Proforma, NHS Clinic and Discharge Letters for ICB reporting, tariff-coded NHS services, and insurer-coded billing for the likes of AXA and Bupa — kept cleanly separate from your private price list.
The forms you hope never to open
Emergency Drug Chart, Emergency Call Log, and both electronic and private prescription forms — set up alongside the pathway so they are there, versioned and auditable, on the day you need them.

Moving a vascular caseload to a new vendor is a data-protection decision before it is a software one. Everything Pabau holds, every partner we rely on and every policy we run to is published openly at trust.pabau.com — so your team, your Caldicott lead or your lawyer can check us without waiting on a sales call.
Registered with the ICO, in your jurisdiction
Pabau is registered with the UK Information Commissioner’s Office as a data controller, Ref. ZA478121, and operates to UK and EU GDPR. That registration is held by Pabau directly — not inherited from a hosting partner — and the Data Processing Agreement is available on request.
Encrypted in transit and at rest
TLS in transit, encryption at rest, and least-privilege access controls behind both. Card details are tokenised by Stripe and never held by Pabau — the same discipline as the role-based permissions that decide which of your 35 users can open a duplex report or a prescription chart.
Eighteen policies, published
Information security, incident response, business continuity and disaster recovery, encryption, access control, secure development — plus the DPA and every certificate. Requested with a work email; the form asks for nothing else. Every sub-processor is listed by name and purpose.
Stated precisely, because you will be asked: SOC 2 is held as a combined readiness and control-mapping report, not a completed Type II audit. The framework badges in the second group are held by the infrastructure partners named against them, not by Pabau directly. Pabau holds no NHS Data Security and Protection Toolkit submission. All three are stated that way on the trust centre, and every underlying report is available on request.

Questionnaire out on booking, consent ready on arrival, the VTE score carried from consultation into the theatre checklist, the first follow-up booked before the patient leaves, and the day-after courtesy call prompted the next morning.
