The Aesthetic Collective × Pabau
Two merged businesses.
Two systems.
One record.
Five locations with a sixth on the way. Injectables, Sciton lasers, medical weight loss and skin, split today between ModMed on the physician side and Aesthetic Record on the med spa side. This document maps every requirement Anna raised on the demo with Martin on 13 August 2026 to a specific Pabau capability, and sets out exactly what the partnership would be signing up to.
I like the platform… it looks like it can do everything.
The Aesthetic Collective
One business, two record systems.
ModMed on one side, Aesthetic Record on the other
The merger brought together a physician practice running a medical EMR and a med spa business running Aesthetic Record. Two systems, two conventions, and no single patient record across the group.
The providers are already complaining
Sciton lasers came in with the merger and the team says Aesthetic Record’s laser documentation doesn’t hold up. It is the single loudest complaint from the people using the system every day.
Med spa notes below physician standards
As Anna put it, the med spa look for documentation “is not what we’re used to as physicians”. What is needed is a blend: injectable and laser workflows with notes a physician is happy to sign.
GLP-1 follow-ups templated in the wrong place
Compounded semaglutide and tirzepatide follow-ups run on a SOAP-style template in ModMed — last dose pre-populated, interval history, vitals, impression and plan. That template has no home in the spa system.
Per-location pricing punishes your shape
Zenoti charges by location. With five small clinics of two or three providers each, that means paying like a single site with a hundred providers. A sixth location makes it worse, not better.
Nothing is included until you buy the next tier
AI, e-prescribing, marketing — each one is another tier or another line item. Anna’s summary of the evaluation so far: “it’s not all included. You’ve got to keep going up different tiers.”
The sixth location is already coming.
You are scaling sites, not headcount
Small clinics opening steadily is the growth model. Priced per location, every opening is a fixed penalty. Priced per user, an opening costs you only the people who actually log in.
Two record systems will not survive the merger
Memberships, commissions, inventory and reporting all assume one dataset. Until injectables, lasers, weight loss and skin sit on one record, every group-level number is assembled by hand.
Providers adopt what is fast on the iPad
Your providers work from iPads. Charting that takes one tap per treatment area, with batch and lot captured as you go, is the difference between a system that gets used properly and one that gets worked around.
The templates are the real project
You flagged it yourself: three months matters because the templates have to be built. That build is what the project management fee buys — done with you, not handed to you as a blank form library.
One operating system. Built for exactly your mix.
Pabau replaces both systems and the tools around them. Injectable, laser, skin, weight loss and telehealth pathways on the iPad; memberships and tiered commissions; online booking with deposits; inventory, reporting, marketing and two-way messaging — all on one patient record, across unlimited locations.
| What you raised | How delivers it |
|---|---|
| Laser documentation the providers will actually use | A laser pathway on the iPad with treatment notes built to your spec — laser type, settings, charting and photos. Forms are built from scratch or replicated from what you use today. |
| Injectable charting by area, with units and batch details | Plot by area rather than by injection — one mark for crow’s feet, units on top. Product, units or millilitres, batch, lot number and expiry captured in the same screen, with stock deducted automatically. |
| Physician-grade weight loss notes with the last dose carried forward | Form components pull live fields from the client record — previous medication and dose, weight, height, BMI — so the follow-up note opens pre-populated. Your interval history, exam, impression and plan structure is rebuilt as-is. |
| AI without another tier or another vendor | Unlimited AI is included in this quote via Care Plus: AI scribe and dictation, note and treatment summaries, photo analysis with treatment suggestions, and AI batch scanning. No per-credit ceiling, no separate AI licence. |
| Multiple small locations without per-location pricing | Priced per user on the Enterprise tier: 21 licences, unlimited clients, unlimited locations. Opening the sixth site adds no platform fee — only the users you add, at $60 each. Downgrade as freely as you upgrade. |
| Memberships, branded, that can differ by location | Individual and family plans with your own perks, credits and discounts, weekly, monthly or yearly billing, an enrolment fee option, and different pricing per location. Payments run through Stripe, white-labelled inside Pabau. Mid-term upgrade and downgrade without cancelling is in beta and releasing shortly. |
| Tiered commissions that rise as collections rise | Commission rules by service, product, package, gift card and membership, tiered by sales period and scoped to named users. The team report shows commissions, wages, scheduled hours, total sales and KPIs by location and by employee. |
| Online booking, deposits and no-show protection | Branded online booking embedded on your site, with location and practitioner selection, waitlists, memberships and packages purchasable at the point of booking, deposits taken via Stripe, and card on file so cancellations and no-shows can be charged to policy. |
| Telehealth for weight loss follow-ups, currently done by phone | End-to-end encrypted video consultations inside Pabau — not Zoom or Google — bookable by the patient as a virtual service, with the AI scribe running in the consultation and writing straight into the note. Calls and two-way SMS, WhatsApp and email run from one inbox. |
| E-prescribing, including controlled substances | Native DoseSpot integration from the client record, covering US pharmacies and controlled substances. DoseSpot is contracted and billed directly by them (approximately $50 per month per prescriber — confirm the current rate at sign-up); we set the integration up with you. |
| Marketing without Mailchimp, Zapier or an agency | Broadcasts and automations to targeted audiences (last visit, treatment type, birthdays, lapsed clients), a lead pipeline fed by your website form, workflow automations that chase a lead by task, email then SMS, review routing to your Google profile, plus vouchers, loyalty and referrals. Included via Marketing Plus. |
| Getting the data out of Aesthetic Record | A full import, not an export you run yourself. You request your data from Aesthetic Record; we take the files in whatever form they arrive and import clients, stock, forms and history — with a private Slack channel and hands-on project management for the first three months. |
Priced per user. Not per location.
What the monthly covers. Enterprise for 21 users at $60 each ($1,260), Care Plus ($351) and Marketing Plus ($264) — so unlimited AI, photo management, branded intake forms and unlimited email marketing are inside the price, not bolted on. Customer support is included at no charge. Unlimited clients, unlimited locations.
What sits outside it. SMS is billed per message at $0.09 (one Pabau credit); email is free and unlimited. DoseSpot e-prescribing is contracted directly with DoseSpot. Monthly rolling with 30 days’ notice to cancel, and a 30-day satisfaction guarantee from the date of payment. Prices may be varied annually in line with the UK Retail Price Index plus 2%, capped at 8%. Figures are quoted in USD, exclude any applicable tax, and are subject to the Terms of Use.
Three months of hands-on project management.
Account build, 21 users, five locations and the sixth pre-built
Locations, rooms, services and permissions configured. Users created individually — estheticians and front desk included — so nobody shares credentials and reporting stays clean by person and by site.
Migration off Aesthetic Record, and the templates built with you
You request the full data export; we import clients, history, stock and forms. Then the build that matters: injectable, laser, skin and weight loss treatment notes, consents and intake forms rebuilt to your standard rather than a generic med spa default.
Memberships, tiered commissions, online booking and marketing
Membership plans priced per location, commission tiers set against collections, deposits and card-on-file policy live on online booking, inventory loaded, and the lead workflows and recall automations switched on.
Training per site, then ongoing support
Training delivered by role across the group, evenings and weekends available. A private Slack channel for the first three months, an account manager through the transition, and DoseSpot e-prescribing set up alongside.
Share it, then let’s talk it through.
This page is built to be forwarded — to your husband and to the partner running the spa side. The proposal itemises the scope and the pricing. When they have read it, book a session and we will walk them through whichever parts matter most to them, on their own questions rather than a repeat of the first demo.
