Hara Center × Pabau
A brand-new clinic.
One system from day one.
Hara Center opens with six people — two providers, a nurse, a medical assistant, an office manager and front desk — running lab optimisation, functional diagnostics, BHRT, peptides, IV therapy and weight loss. There is nothing to migrate, which makes this the cheapest and lowest-risk moment you will ever have to put the whole clinic on one record. This document takes every requirement Kelsey raised with Martin on the demo of 13 August 2026, maps it to a specific Pabau capability, is straight about the four things we do not do natively, and sets out the commercials exactly as quoted.
…the biggest thing is we want something that can stock inventory.
Hara Center
What has to be standing up before you open.
Supplements and peptides counted by hand
Retail stock is the clinic’s second revenue line, and today nothing deducts it automatically when a patient buys. Kelsey named this as the single biggest requirement on the demo.
A visit and a retail sale on two separate tickets
A patient checks out, buys supplements or peptides, and is also charged for the consultation. Those need to land on one document against one client record, not be stitched together afterwards.
Sales figures re-keyed into QuickBooks
Payroll and accounts sit in QuickBooks. Without a route out of the clinical system, someone exports, reformats and re-enters the same numbers every month.
SOAP notes with no reusable templates
The team wants to chart its own way — functional medicine intake, follow-ups, IV and weight-loss protocols — and have any note it writes become a template the next clinician can reuse.
Results handled on paper
Lab work is central to the model. Today results are scanned or filed by hand rather than landing against the patient’s chart.
A brand-new practice, standing everything up at once
Nothing to migrate from Power to Practice — which removes the biggest risk in a switch, but means every service, price, form and protocol is built from scratch before the doors open.
The decisions you make this month set the next three years.
Retail stock is margin you can only protect if you can see it
Peptides, supplements and IV inventory move fast and expire. Auto-depletion at the point of sale turns stock from a monthly guess into a live number, and makes reordering a report rather than a stock count.
Six users today, eight within three years — at the same price
The Group tier covers 6 to 15 users. Every hire you named on the call fits inside the plan you’re signing, so growing the team doesn’t reopen the commercials.
Starting clean is the cheapest time to consolidate
With no data to migrate you pay the lower onboarding fee and skip the riskiest phase of any switch. The same build done in eighteen months’ time carries a migration attached to it.
Documentation time is clinical time
AI scribe sits inside the note, not beside it. Dictate or record the consultation and the structured note comes back in your own template — no copy, paste and reformat between two windows.
One operating system. Including where the answer is no.
Scheduling, charting, stock, point of sale, telemedicine, marketing, reporting, commissions and timesheets on a single patient record. Below is every question you asked on the demo with a straight answer against each one — including QuickBooks, labs, the patient app and the beta features, where the honest answer is a qualified one. You should not find a surprise after you sign.
| What you raised | How delivers it |
|---|---|
| Stock that depletes automatically when a supplement or peptide is sold | Product and stock management with automatic deduction at the point of sale, multi-location stock, barcodes and per-product pricing. Products & stock |
| One checkout covering the visit and anything bought at the front desk | Services and retail products are billed together against the client record and issued as an itemised invoice. Note: Pabau issues an invoice rather than a printed till receipt. |
| Getting what patients buy into QuickBooks | Honest answer: there is no native QuickBooks plugin. Two routes — export the sales and product reports, or connect QuickBooks to Pabau’s open API, which is how our other US clinics do it. We supply the API documentation and support the build. |
| Any SOAP note saved and reused as a template | Fully customisable clinical templates — build the note the way you chart, then reuse it across the team. Intake forms feed straight into the note. Clinical charting |
| AI help with documentation | Echo AI scribe and AI-assisted notes, included unlimited in Care Plus. AI transcription & notes |
| Lab ordering and results | Honest answer: no direct LabCorp or Quest integration. Requests go out by fax from the chart; results are uploaded to the client’s Labs tab and sit on the record from then on. |
| Two-way texting with patients, and a phone system | Both are in beta — usable now under our monitoring, with no fee at present and no separate app. Beta means the feature set and future pricing are not yet fixed; we will not put a number on it until it is. |
| Card payments — does the rate change by how they pay? | No. In the US it is 3.1% + $0.25 per transaction, card present or card not present, tapped, chipped or on file. Rates are set out in the Terms of Use and can move with card-scheme and interchange costs. |
| Who can sign clinical notes, and supervising sign-off | Every member of staff is a user with role-based permissions and two-factor authentication at signing. Be aware: signing rights follow the role — there is no separate per-note co-sign approver list. Staff permissions |
| Protocol-driven care for IV therapy and weight loss | Care pathways attach a defined sequence of appointments, forms and follow-ups to a treatment type, so an IV or weight-loss patient moves through the same steps every time. |
| Bringing inactive patients back, and recalls after treatment | Marketing Plus: unlimited email campaigns and automations, recalls by service, birthday and welcome flows, review nudges to your Google Business profile, and a daily snapshot report. Marketing |
| Reporting on revenue, sales and staff productivity | Revenue, sales, product and productivity reporting, plus native commissions per service and timesheets and wages for the wider team. |
| A patient app | Honest answer: there is no patient mobile app. Patients use a cloud-based portal for forms, photo uploads and their appointments. The mobile app is for your staff. |
| Telemedicine | Built in, encrypted, no additional platform fee. The patient is notified through the portal and you chart in the same screen. Video consultations |
| E-prescribing | Available through the DoseSpot integration, billed separately by DoseSpot per prescriber. We will confirm the current per-prescriber rate in writing before you commit to it. |
Every line, itemised.

Today’s payment of $965.00 covers your first month of the Group plan ($386.00) plus the one-off account setup and training ($444.00), card terminal ($115.00) and shipping ($20.00). Your ongoing monthly is $802.50. Figures reproduced from your quote of 13 August 2026, valid to 31 August 2026. Prices exclude any applicable taxes. Card processing is charged separately by transaction at the rates above.
Monthly rolling. 30-day notice. No migration fee.
Billed monthly in advance by card. A monthly plan is a 30-day rolling contract with 30-day notice to cancel. Prepaid commitments are available if you would rather lock the rate — 10% off for twelve months paid upfront, 15% for twenty-four. Card processing in the US is 3.1% + $0.25 per transaction, card present or not present; network, scheme and interchange costs can move, so treat processing rates as indicative. Built around your opening, not ours.
Account build, six users, roles and permissions
Users created for both providers, the nurse, the medical assistant, the office manager and front desk, each with the access their role needs and two-factor authentication at signing. Services and price list loaded.
Supplements, peptides and IV menu loaded for auto-depletion
Products imported with barcodes and pricing, stock levels set, and depletion tied to the point of sale so the front desk sells the visit and the product on one invoice.
SOAP templates, intake forms, care pathways, AI scribe
Your notes rebuilt as reusable templates, intake forms wired to flow straight into the chart, IV and weight-loss pathways defined, Echo AI enabled for the providers.
Payments, terminal, automations and training
Stripe and the card terminal live, recall and reactivation automations switched on, team training delivered, and a private Slack channel opened with a named account manager for the first weeks.
Two links. One decision.
The proposal sets out the full scope and pricing. The order form starts the build — and with no data to migrate, that build is measured in days, not months.
