Alpha BioMed × Pabau
Your first clinic.
One system to run it.
A 6,800 sq ft membership clinic in Irvine — gym, phlebotomy, IV therapy and aesthetics — opening after twelve years of online, telehealth-first operation. This document maps every requirement Gregory, Peter, Trevor and Anna raised across the two calls with Noah to a specific Pabau capability, and shows what Alpha BioMed goes live on from day one.
Yeah, it’s really user friendly. It seems very complete with all the bells and whistles.
Alpha BioMed
Where Alpha BioMed stands today.
Twelve years online, first clinic on the floor
Alpha BioMed has run online and telehealth-first for over a decade. Irvine is the first brick-and-mortar site, so there is no incumbent clinic system to inherit — every booking, charting, billing and membership workflow is being chosen from scratch.
One building, three rooms, five people on the rota
A gym, a phlebotomy room, an IV suite and a treatment room, staffed by a doctor, a physician assistant, two nurse injectors and a front desk. Rooms and clinicians both need to be bookable, with each role seeing only what it should.
Nobody wants to build a physical exam form from scratch
Gregory and Peter both asked for ready-made intake and physical exam templates rather than authoring a clinical library from a blank page before opening. Consent forms for each procedure are a day-one requirement, not a later project.
Four tiers, preloaded treatments, no engine behind them
Membership starts at $1,000 and rises through the tiers, each carrying a different discount and a bundle of included treatments — six Botox, four filler, three IV on the top plan. Today there is nothing to hold that ledger or enforce it at the till.
Virtual follow-up sits outside the clinic record
Anna raised video consults and virtual follow-up as part of the customer journey, alongside the group’s existing telehealth and pharmacy fulfilment. Those visits need to land on the same patient record as the in-clinic ones.
250 to 300 members, and a launch to hit
The target is 250–300 members at this location, with a second, third and possible franchise behind it. Five platforms were evaluated; the system has to be configured, loaded and trained on before the first member walks in.
The system you pick now is the one 300 members join.
A membership business is only as good as its ledger
Four tiers, tier-specific discounts and preloaded treatments mean every visit draws down a balance. Held in a spreadsheet, that becomes a dispute at the front desk. Held in the record, it becomes automatic.
Manufacturing your own products only pays if the till knows it
Undercutting the competition is the commercial advantage. It converts only when the member’s discount applies itself at the point of sale, every time, whoever is on the desk.
Documentation debt starts on day one
Every visit charted outside the system is a record to migrate later. Starting on ready-made templates with AI notes in the chart means the clinical history is complete from the first appointment.
Build once, then clone it
A second site, a third and a franchise model all get easier if location one is configured properly. The configuration you sign off now becomes the template you copy.
One operating system. Built for clinics like yours.
One system for the whole clinic: online booking and the client portal, room and staff scheduling, clinical charting with ready-made templates and consent forms, memberships with automatic tier discounts and included treatments, point of sale with Pabau Pay terminals, stock control, video consultations, marketing and reporting. Every requirement below came off the calls on 6 and 15 July — each one is answered by something Pabau ships today.
| What you raised | How delivers it |
|---|---|
| Four to five users — doctor, physician assistant, two nurse injectors, front desk | Per-user licences with role-based permissions set module by module, so the desk, the injectors and the prescriber each see only what their role needs. |
| Ready-made physical exam and intake templates, not a blank page | A library of pre-built medical forms and treatment-note templates you edit rather than author, plus AI-assisted form building for anything bespoke to Alpha BioMed. |
| Consent forms already built for each procedure | Digital consent forms with e-signature, sent ahead of the appointment or signed on an iPad in the room, filed straight to the client record. |
| Membership tiers with different discounts per tier | Membership perks include discount rates that auto-apply in the point of sale and in online bookings — the tier does the arithmetic, not the front desk. |
| Preloaded treatments on a recurring plan — six Botox, four filler, three IV | Memberships carry included services and wallet credits that load automatically on each billing cycle; sessions count down on the client card as they are used. |
| Family plans and members paying for more than themselves | Memberships can be set as Individual or Family, with an optional enrolment fee, weekly/monthly/yearly billing and ongoing or fixed-term plans. |
| Before-and-after photos captured in the room | High-resolution photo management with before-and-after sliders, included in the Care Plus add-on on this quote. |
| Stock that reorders itself when it runs low | Minimum and maximum stock levels per product with low-stock alerts, and purchase orders that pre-fill from what is below par — you approve the order rather than compile it. |
| Telehealth video consults and virtual follow-up | Video consultations launched from the calendar, charted in the same screen, with free video minutes included in Care Plus. |
| AI notes without a per-use ceiling | Echo AI transcribes the consultation into a treatment note; Care Plus makes AI notes, summaries and service descriptions unlimited. |
| Marketing run in-house, not through an agency | Email and SMS campaigns, recall, lead pipelines and branded intake forms with conditional logic, all reporting back against the same client record. |
| Card payments at the point of sale | Pabau Pay card terminals integrated with the account, taking Visa, Mastercard, Amex, Apple Pay and Google Pay — the terminal and shipping are on this quote. |
| An open API for the group’s other systems | A documented public API so the telehealth and pharmacy platforms can read and write against the same record. |
