Aesthetics, peptides and hormone replacement, run on PatientNow — a system that only works properly at a desk, sends the same consent form every visit, and sits entirely apart from where you order labs. This document maps each point Dr Brunson raised with Martin on the 13 August demo to a specific Pabau capability, and shows what changes the day Continuum Aesthetics consolidates onto one record.

It’s just me and my office manager and then I’ve been open for about a year and so I’m trying to maximize how efficient I can be with AI good software.

Mobile

PatientNow only really works at a desk

As Dr Brunson put it on the demo: “the only time you can actually access Patient Now and it works a little more functionally is on a desktop, not on the iPad.” Marking up a photo with a trackpad isn’t a workflow.

Online booking

Patients can’t finish a booking on a phone

The current booking widget is an embedded iframe. On a phone the Book button sits out of reach unless you know to scroll the inner frame — so patients who intended to book simply don’t.

Consent

The same consent form, every single visit

PatientNow reissues one blanket consent form on every appointment regardless of treatment, so it was switched off entirely. Consent now depends on someone remembering — the opposite of an audit trail.

Payments

No way to get a card on file before the visit

A card is only captured when the patient books online themselves. Anyone booked by phone or text never acknowledges the $75 no-show fee — and there’s no way to hold a card without charging it.

Labs

Rupa and PatientNow never speak

Labs run through Rupa, records live in PatientNow. Every order means re-typing the patient’s name, date of birth and details by hand — “a lot of manual entry”, on work that repeats all day.

Capacity

Two people, and multi-state ahead

The clinic is Dr Brunson and an office manager. Credentialing in several more states within about eight months puts telemedicine and lab volume up sharply — on the same two people.

Why this matters now

Every one of these leaks is a booking you already paid for.

A booking lost on a phone is the most expensive kind

The marketing spend is already committed by the time a patient reaches the booking page. A widget they can’t operate on a phone loses the patient at the last inch.

Manual lab entry scales with the expansion, not against it

Hormone replacement across several states means more panels, not fewer. Re-keying demographics is a cost that grows exactly as fast as the plan does.

Staying lean is a software decision

The stated aim is to delay the next hire as long as possible. That only holds if documentation, reminders, consent and recall run themselves rather than through the office manager.

Deposits change no-show behaviour without changing your policy

Holding a card on file is not the same as charging one. Capturing the card at booking preserves the goodwill policy while making the no-show fee enforceable when you need it.

Lab requests are raised from the client card, so patient demographics carry across automatically. Requests go electronically to the lab profile you configure; results land in the Lab Inbox, match to the request, and file themselves into the patient’s chart. How it works.
Keep using Rupa specifically
Not a direct integration today. Pabau has no Rupa connector, and none is currently on the roadmap. Any lab you work with — including Quest — can be set up as a custom lab profile and ordered natively. Worth deciding before go-live whether Rupa stays alongside Pabau or the panels move across.
Documentation that keeps up without another hire
AI transcription writes the treatment note from the consultation, inside the chart rather than beside it. AI treatment notes.
Telemedicine as multi-state licensing comes through
Scheduled video consultations launched from the calendar, charted in the same screen as an in-person visit.
Recall and follow-up without an outside agency
Marketing Plus: email and SMS campaigns, recall and reactivation flows, lead capture from the website, with conversion reporting.
Lab results read and filed without manual transcription

A 30-day satisfaction guarantee applies to subscription costs for new customers, subject to the conditions in the Terms of Use. Every figure here is reproduced from your order form — that document governs. The 2.8% + $0.25 is a rate agreed specifically for Continuum Aesthetics, in place of the standard published rates. It applies both to payments taken online and to card payments taken in the clinic on the Pabau Pay terminal. American Express and cards issued outside the US carry an additional surcharge, and network, scheme and interchange costs can fluctuate, as set out in the Terms of Use.

Phase 2 · Migration & forms

PatientNow data imported, consent forms rebuilt per treatment

Patient records and history migrated off PatientNow. Your consent forms imported or rebuilt so each treatment carries its own — Botox, filler and hormone therapy handled separately rather than one blanket form.

Phase 3 · Labs & payments

Lab profiles, online booking and card-on-file switched on

Lab profiles, lab codes and request forms configured for the panels you order most. Mobile online booking published, deposits and card-on-file rules set to your policy, and the Pabau Pay terminal paired for in-clinic payments.
