This document maps every requirement Sarah raised on the demo with Martin on 18 August 2026 to a specific Pabau capability, and sets out the commercials, the discounts and the go-live plan for both sites.
How customisable it is, and how you can use the system for marketing, is a lot stronger obviously than what Timely does.

Timely runs the diary — and not much else
Timely is the in-clinic booking system today. It does the diary well, but the parts around it are what sent you looking: “there’s definitely some areas within Timely that we don’t like”, and that is what started the search for an all-in-one.
Recording notes is a job in itself
“One of the big limitations with Timely is that as a practitioner trying to record notes, it’s difficult — there’s definitely friction there.” Detailed clinical notes and client preferences are exactly what an injectables practice needs to be quick.
You can’t market to your own client list from the diary
Direct marketing to clients, built off their history and preferences, is not something Timely does — your words on the call. So campaigns and follow-ups happen outside the system that holds the client data.
A second tool, paid for separately, not joined up
“It’s very expensive for what it is, and it’s not linked to your client management system at all.” Messaging sits away from the record, so conversations and clinical history never meet.
The reception team feel the friction daily
The team on the front desk find parts of the current set-up genuinely annoying. Steps get missed — a form not filled in, a stage not completed — because nothing tells them what is outstanding for the client in front of them.
A second clinic, a bigger team, the same software
The new site opens with more practitioners and more admin staff. Whatever runs the clinic has to handle multiple locations and be simple enough that a growing team picks it up without a training project.
The new clinic is the deadline.
Open the second site on a system that is already bedded in
“I want it to all be in place before the new clinic opens, so we’re not trying to learn something new when we’re trying to open.” Migrating now means the new site launches on a platform the team already knows.
Enquiries that arrive in three places get lost
Website enquiries, messages and follow-ups currently live apart from the client record. One inbox and one pipeline is how “things don’t get lost” — and how more of them convert.
Note friction multiplies with every practitioner you hire
A few extra minutes per consultation is a nuisance for one clinician and a staffing cost across two sites. Notes, dictation and forms belong in the treatment record, not around it.

Where Pabau differs from Timely.
Timely is a good product and it is genuinely strong at what it was built for. The question is not which is better in the abstract — it is which one fits a medical aesthetics clinic opening a second site. Comparison based on Timely’s published plans and pricing page, checked 17 August 2026.
What Timely does well — credit where it is due
A polished diary, strong online booking and client experience, transparent per-staff pricing with no contract, deposits and cancellation fees, and a big presence across Australia and New Zealand. If the requirement were only a salon diary, it would be a fair fight.
Client records versus a clinical record
Timely markets itself to “hair and beauty professionals” and keeps client notes and photos; Pabau is a customisable medical record for aesthetics — templated treatment notes, consent tied to the appointment, photo comparison, prescriptions and an audit trail. That difference is what you described as note-taking friction.
Laddered plans versus one system
On Timely’s current three-plan ladder (Build, Elevate, Innovate), client photos and documents and SMS campaigns start at Elevate, and rebooking reminders and VIP services at Innovate; consultation forms run through a separate iOS app from Elevate up. Your Pabau quote puts the clinical, marketing and AI tooling in from day one.
Marketing next to the data, not bolted on
Timely’s email campaigns run through its Mailchimp integration. Pabau builds campaigns, recalls and automations off the clinical record itself — which is the gap you named on the call, and the reason a separate messaging tool exists in the stack at all.

Training, go-live, and the terminal on the counter
Up to six hours of one-to-one training under the Gold Customer Success Package, evenings and weekends available. Card terminal shipped and paired. Your Revenue Growth consultant then works with you on activation — at no cost, permanently.
