Éveil des Sens, MédiSpa × Pabau
A med-spa record.
In French, by default.
Éveil des Sens has grown from spa treatments into medical consultations, laser and injectables — on Booker, a spa system that defaults to English and was never built for the medical side. This document maps every requirement Chloé raised with Noah across two calls in July and August to a specific Pabau capability, and sets out what a September switch looks like.
It’s definitely solving a lot of the issues that we have with Booker — and I have the feeling that it’s also easier to navigate than Booker.
Éveil des Sens, MédiSpa
What Booker does well — and where it stops.
French is a legal requirement, not a preference
Booker lets you translate most communications, but many automated features — including its AI — default back to English. In Québec that is an awkward client experience, and Chloé wants it fixed as soon as possible.
The AI answers, then switches to English
Messenger AI handles texts, booking and pricing redirects. Anything the team typed is bilingual; anything automated reverts to English mid-conversation, in front of the client.
Spa software carrying medical work
Booker is stable and strong on calendar, POS, gift cards, packages and memberships. It was not built for consultations, medical forms, laser protocols or injectable records — the services the clinic is shifting towards.
The workload lands on reception
Rescheduling, reminders, consultation booking, forms, deposits and cancellations are handled by people rather than by the system. That is capacity the clinic is paying for twice.
Klarna bolted on through Shopify
Because Klarna cannot connect to Booker, clients buy the treatment or package on the Shopify site and pay with Klarna there. The purchase then has to be found and matched by hand, and reporting visibility suffers.
Reports have not followed the shift to medical
Booker’s reports are workable for a spa. They do not show consultation conversion, provider performance, product sales or treatment retention — the numbers that matter now.
September or January — there is no third window.
The busy season closes the door
September is the quietest month before the holidays. October to December leaves no capacity for staff to learn a new system, which pushes the switch to January and costs a full season of the medical growth you are building.
In Québec, language is client experience
Every automated message that reverts to English is a small breach of trust with a clientele that expects to be served in French. It is the one gap Booker is least likely to close.
Medical records need medical software
Consultations, laser protocols, injectable mapping and before-and-after photography sit outside the spa model. Keeping them outside the system is where clinical risk and admin time accumulate.
A migration that loses data costs years
Gift-card balances did not come across the last time the clinic changed system, and staff were still working from a paper list four years later. Scope and sign off the export before anything is switched off.
Medical software, with the spa features you already rely on.
Pabau replaces Booker as the single record: calendar and POS, packages and memberships, online booking and client portal, medical forms and consent, injectable and laser charting with before-and-after photography, Echo AI notes in the treatment room, Stripe and Klarna payments, automations, marketing and reporting — with French set as the working language of the business.
| What you raised | How delivers it |
|---|---|
| French as the working language of the business, not a translation layer | French is one of 43 supported languages and can be set business-wide — it drives staff accounts and the online-booking portal, and each user can also set their own. Every client-facing email, SMS, pre-care and after-care template is written by your team, so the wording stays yours. |
| Automated and AI output that does not revert to English | Echo AI notes, consultation summaries and letters are generated inside the record and are editable before they are saved, so nothing reaches a client unreviewed. Confirm the exact language behaviour of each automated journey with Noah during configuration. |
| Medical work: consultations, laser, injectables, photography | Medical forms with conditional logic, e-signed consent, injection plotting and drawing on treatment forms in the Pabau GO app, and high-resolution before-and-after photo comparison as part of Care Plus. |
| Reception workload: reminders, rescheduling, forms, deposits | Automated reminders and recall, self-service rescheduling and cancellation in the client portal, forms sent ahead of the visit, and deposits taken at the point of online booking. |
| Pre-treatment instructions clients actually see | Pre-care templates and conditional intake forms attached to the service, so laser clients get the tan, shaving, antibiotic and pregnancy checks before they arrive rather than at the door. |
| No-shows and last-minute cancellations | A configurable cancellation and no-show policy with a card held on file via Stripe, charged to the policy you set, plus a no-show workflow that follows up automatically. |
| Klarna without the Shopify detour | Klarna is a native integration, so the payment lands on the invoice in Pabau instead of being reconciled from the website afterwards. Stripe covers cards, deposits and card-on-file. |
| Card machines in the clinic | Pabau supplies integrated terminals and Tap to Pay on iPhone. Your existing Moneris terminal is not integrated — takings can be recorded against a named payment type so reporting still balances. Processing rates are quoted separately by Noah and are subject to change. |
| Reporting for a medical shift | Standard and monthly sales reports, product performance and staff or team filters, commission tracking per service and provider, and stock deducted automatically as treatments are performed. |
| Staff working on their phones in treatment rooms | The Pabau GO app covers charting, plotting, photography and voice-to-note dictation, so a nurse or aesthetician completes the patient file in the room rather than afterwards. |
| Restricting who sees what | Role-based permissions per module, set per user, with an audit trail on the record. |
| Login restricted to the clinic’s physical location | Not available today — Pabau has no geolocation or IP-based login restriction, and this proposal does not assume one. Noah is checking internally whether it can be scoped; treat it as an open item and pair it in the meantime with tight role permissions. |
| Migration off Booker without closing the doors | A 7–12 business-day import of clients, history, stock and forms under Full Project Management, with Booker kept live in parallel so nothing is switched off before the team is trained. |
The paperwork, before you ask for it.
Moving a full clinical dataset out of Booker is a data-protection decision as much as a software one. Everything below is published at trust.pabau.com, split between what Pabau holds and what our infrastructure partners hold — because conflating the two is not a claim worth making.
Québec Law 25, PIPEDA, PHIPA and HIPAA
2026 compliance reports produced by Aikido Security, available on request. This is the documentation Noah committed to sending — ask and it is issued against a work email, with no NDA step.
UK and EU GDPR
Pabau is registered with the Information Commissioner’s Office, reference ZA478121. The Data Processing Agreement and 18 published policy documents — information security, incident response, business continuity, encryption, access control, vendor management — are released on request.
SOC 2 — readiness, stated plainly
Pabau holds a combined SOC 2 readiness and control-mapping report covering Security, Availability and Confidentiality. It is not a completed Type II audit, and we will not describe it as one.
Held by our infrastructure partners
ISO/IEC 27001:2022 by CoreSite, valid to November 2027; PCI DSS v4.0.1 (SAQ A) by DigitalOcean; HDS health-data hosting by OVHcloud; CSA STAR Level 1, self-assessed. These are our partners’ certifications, not ours, and are listed as such.
Controls on your clinical data
TLS in transit, encryption at rest, least-privilege access controls, and card tokenisation through Stripe — card numbers are never held by Pabau. The full sub-processor register is published by name, region and function.
What is not in place
There is no published uptime SLA, and no geolocation or IP-based login restriction. Both are stated here rather than left to be discovered, and role-based permissions are the control we would rely on in the meantime.
