Opening in October on
one platform.

A brand-new IV infusion and wellness studio opening in October, with a wait list already building and no system underneath it yet. This document maps every requirement Soshana raised on her demo call with Martin to a specific Pabau capability — charting, intake, memberships, marketing and labs on one record from day one, instead of four tools stitched together.

I am excited to see that there’s something that has everything more streamlined and in one place, because it’s already hard enough starting in clinical practice.

Knocked Out

Where you are today

Where the studio stands today.

Forms & consent

Consent forms, patient emails and clinical notes exist as separate documents

The templates and consent forms you want to use sit outside any system today. Every one of them has to be issued, signed, chased and filed by hand before a patient is even in a chart.

Intake

A 60-question intake that takes 15 minutes to complete

It is the right depth of intake for IV therapy, and it is exactly the sort of form patients abandon on paper or in a PDF. It needs to be digital, staged, and mandatory where it matters.

Clinical notes

Vitals every five minutes across a 90-minute infusion

A single IV session generates a dozen sets of observations. Without a note template built for repeated data points, that is a hand-written sheet transcribed into a chart afterwards.

Lead capture

A wait list sitting on the website as names and emails

Real demand, already captured, and nothing happening to it. No instant acknowledgement, no nurture, no booking link — just a list waiting for you to have time.

Recurring revenue

Memberships and IV add-ons planned, but nothing to run them on

Monthly memberships with a core offering included, plus cocktail add-ons at the point of booking. Both are recurring-revenue mechanics that need to be native, not spreadsheets.

Cost of sprawl

Four tools before you have a single patient

The alternatives on your shortlist — and a separate marketing platform on top — mean paying for, learning and reconciling several systems in your first month of practice.

Why this matters now

You only get to choose this once.

Choose the system you will not have to replace

You are picking a platform before the data exists. Every month of patient records, notes, memberships and payment history makes a later migration harder and more expensive. Choosing once, now, is the cheapest decision available to you.

October go-live means onboarding starts now

Onboarding runs 7 to 15 business days and is scheduled around you. Starting in mid-August leaves September clear to run your beta clients through the real workflow, so opening week is rehearsed rather than improvised.

The wait list is revenue standing still

The moment lead capture and automation are live, a wait-list sign-up gets an immediate branded acknowledgement, then a day one, day three and day seven sequence, then a booking link — without you touching it.

Documentation time is the tax on a solo practice

You are the practitioner, the front desk and the marketer. Templated infusion notes, AI-assisted documentation and automated follow-up are what buy that time back — and they matter most in the year you are busiest and smallest.

The solution

One operating system. Ready before your doors open.

Everything you walked through with Martin runs on a single patient record: online booking with add-ons, your 60-question intake, consent forms, infusion notes with repeated observations, AI-assisted documentation, memberships and recurring billing, lab results in the chart, aftercare video, email and SMS automation, and reporting. Every line below is something you raised on the call.

What you raisedHow delivers it
Consent forms and patient templates that fit my practice, not someone else’s
Medical form and treatment-note templates are fully editable, and forms can be linked to specific services so the right one fires for the right treatment. Existing PDF or Word forms can be rebuilt in Pabau rather than retyped.
A 60-question intake questionnaire, 15 minutes long, with fields patients must complete
Digital medical-history and intake questionnaires with required fields, sent ahead of the appointment and filed straight to the chart on submission.
Vital signs logged every five minutes across a 90-minute IV infusion, in one note
A custom treatment-note template with repeated observation sections, captured during the session and stored on the patient’s chart alongside the rest of the visit.
An AI scribe so I’m not writing notes from scratch
Echo AI transcribes the encounter and drafts the treatment note into your own template, which you review and sign. Included unlimited under Care Plus.
The wait list on my website turning into actual bookings
Lead capture from your site into a lead pipeline, with an immediate branded acknowledgement and a booking link, and every enquiry tracked to conversion.
Follow-up emails on day one, day three and day seven, automatically
Unlimited automations and workflows under Marketing Plus: timed sequences off the appointment or the sign-up, plus recall, birthday and unpaid-invoice flows.
A welcome video and an aftercare video that play inside the email
Video can be embedded in pre-care and aftercare templates, sent manually or by automation after the visit.
Memberships where patients pay monthly and get a core offering included
Native memberships and packages with recurring billing, credits that count down as they are used, and perks and discounts set per plan.
IV cocktail add-ons offered at the point of booking
Services carry add-ons that are surfaced during online booking, so the upsell happens in the flow instead of at the front desk.
Lab results ending up in the patient’s chart, not my inbox
Lab requests are raised in Pabau and results are reviewed, shared and stored against the client record, including document-based results. Direct lab integrations vary by country — your onboarding specialist will confirm the setup for your lab.
A non-medical assistant who needs limited access, not a full licence
Role-based staff permissions per module, so an assistant sees scheduling and admin without clinical records. Your plan includes a second user for exactly this.
Patient information encrypted, and HIPAA handled properly
Encryption at rest, TLS in transit, least-privilege access control and card tokenisation through Stripe, so card data is never held by Pabau. A 2026 HIPAA compliance report (Aikido Security), the DPA and 18 published security policies are available on request at trust.pabau.com.
Someone to call when the platform isn’t behaving
Support over live chat and email is included with your plan, seven days a week, covering 03:00–00:00 ET on weekdays and 04:00–08:00 ET at weekends.

54% off list · permanent

Your $265 a month covers the Solo plan (2 users, unlimited clients) at $104, Care Plus at $91.50 — half of its $183 list price — and Marketing Plus at $69.50, half of $139. Revenue Growth Consultancy, normally $149 a month, is included at no charge. List price for the same bundle is $575.

Every one of those discounts is locked and permanent. They do not expire after three months and they do not reset when you grow — as you scale and add users, the same rates carry forward. Moving from two users to three adds $83 a month, against a $187 list price for the three-user plan, and the add-ons stay at half price. The $444 one-off covers account setup, unlimited medical forms, service and client import, online booking and lead-form configuration, a data validation session, 500 Pabau credits and up to two hours of one-to-one training. Figures are reproduced from your quote dated 12 August 2026, valid to 31 August 2026; the order form is the binding document.

Implementation

Rehearsed in September. Live in October.

Phase 1 · Mid-August

Account build, branding, calendar and online booking

Onboarding opens 7 to 15 business days of guided setup, scheduled around your diary. Your two users are provisioned, the studio is branded, and the calendar, online booking portal and patient portal are configured.

Phase 2 · Forms & services

Intake, consent forms and the infusion note template

Your 60-question intake and consent forms are rebuilt in Pabau and linked to the right services. The 90-minute infusion note is templated with repeated vitals sections. Service menu, IV add-ons and membership plans are configured.

Phase 3 · September beta

Beta clients through the real workflow, automations switched on

Your beta clients book, complete intake, get charted and pay through the live system. Wait-list lead capture goes on, along with the day one, three and seven follow-ups, reminders, aftercare video and review requests.

Phase 4 · October go-live

Doors open with the workflow already proven

Up to two hours of one-to-one training completed, Echo AI documentation in use, and support on live chat and email seven days a week. Nothing about opening week is being tried for the first time.

Ready to sign

Two links. One decision.

The proposal sets out the full scope, the discounted pricing and the onboarding plan. The order form locks it in — and locks those discounts in permanently, for as long as you grow with us. Sign in August and onboarding can start in time for an October opening.
