Med Aesthetics Miami × Pabau
Two locations. 15,000 clients.
One system that follows up for you.
Fifteen years of med-spa records currently live across Next Health and Dr Chrono, with a dedicated front desk phoning clients who haven’t been in for months. This is the short version of what you and Martin covered: what changes the day Med Aesthetics Miami moves onto one record — and the commercials, held open for you.
I’m changing right now. I love it because I’m paying so much more.
Med Aesthetics Miami
Two systems, and a person doing the follow-up.
Next Health plus Dr Chrono
Booking sits in one system, records in another. Your words on the call: a few glitches, not synced to the system, this and that. Two tools means two places to look and no single client record.
A dedicated front desk chasing lapsed clients
Someone is paid to scan for clients who haven’t been in for six months, two weeks, three weeks — and to ring them, because the system can’t be trusted to stay on top of it. A virtual assistant was next on the list.
Sessions reconciled by hand
“If somebody buys a package of five, how do I know that they use four sessions and only one is left?” Right now that reconciliation is manual, and it takes a long time.
Nothing chases a slot that just opened
When someone cancels late, filling the gap depends on somebody noticing and making calls. Most of the time the room simply sits empty.
15,000 contacts, texted weekly — outside the record
Campaigns go out separately from the booking system, so there’s no clean line from a message, to a booking, to the revenue it produced.
Website enquiries land in your inbox
Every enquiry from the site comes to you personally and gets typed into the software by hand — with no record of which platform it came from.
Follow-up is revenue. Today it costs you a salary.
Recall done by a person caps out; automation doesn’t
A front desk can work a list. It cannot watch 15,000 records for every service that’s due. Automated recall runs on every client, every day, without another hire.
A last-minute cancellation is lost revenue unless something fills it
An automated waitlist texts the people most likely to take the slot the moment it opens — without pressuring anyone to book ahead of time.
Both sites should read as one business
Clients, stock, staff and reporting already span locations — so bringing the third site back to life later is a setting, not a second system.
One record is what makes the reporting worth reading
When bookings, treatments, packages, payments and campaigns sit on the same client, you can finally see which service, source and site actually earns.
One record. Everything hangs off it.
Pabau replaces both systems: calendar and online booking, EMR, packages, marketing, leads, reviews and reporting on a single client record, across your locations. Below is each point you raised, mapped to how it works.
| What you raised | How delivers it |
|---|---|
| Automated follow-up by type of service, so the front desk stops phoning lapsed clients | Recall automations per service — each treatment gets its own interval, and the reminder goes out by SMS or email on its own. |
| Fill last-minute openings automatically | Waitlist on online booking: clients join when their slot isn’t free, and are notified by text the moment one opens. They still choose to book — nobody is pushed. |
| Booking by machine and room, not by technician | Rooms and equipment are bookable resources in their own right. A client books the Soprano; whoever is available that day runs it. |
| Know how many sessions of a package are left | Packages sit on the client card and count down as sessions are used. Paid once, tracked automatically, visible to staff only. |
| Bulk and one-to-one texting plus email campaigns to 15,000 clients | Unlimited email campaigns and automations under Marketing Plus; SMS campaigns sent from one number, charged on credits (see below). |
| Website enquiries typed in by hand, no idea which platform they came from | Enquiries land straight in Leads with their source attached, worked in a pipeline view, converted to a client in one click, and reported on. |
| EMR for the full client record | Treatments, medical forms, photos, allergies, prescriptions, patch tests, lab results and client problems on one chart. |
| Reviews — encourage the good ones, keep the bad ones in-house | Automated review requests after treatment; positive feedback nudged to your Google profile, the rest kept inside Pabau for you to act on. |
| Fifteen years of data on two systems | Full Project Management migration: clients, stock, medical forms and history imported by our team, with a project plan you sign off before go-live. |
| HIPAA | Pabau is built to support HIPAA obligations for US clinics. Our 2026 compliance reports and security documentation are available on request at trust.pabau.com. |
The commercials, plainly.
The Group tier covers six to fifteen users across both locations. Marketing Plus and Care Plus are included at half price, the full data migration and account setup are both 50% off, and the Revenue Growth Consultancy and support come at no charge. Settling the total upfront is what earns the free month. The line-by-line figures are in the proposal below, held open to 31 August 2026. One SMS credit covers 160 characters to any destination; credit pricing is confirmed at the point of purchase and can change.
From order form to live, with our team doing the lifting.
Account, both locations, rooms and machines
Users provisioned on the Group tier. Both sites set up as separate locations. Rooms and equipment configured as bookable resources so clients book the machine, not the technician.
Fifteen years of records imported for you
Clients, packages, stock and medical forms brought across from Next Health and Dr Chrono by our migration team, against a project plan you approve first.
Recall, waitlist, leads and campaigns switched on
Follow-up sequences per service, the online-booking waitlist, website enquiries routed into Leads with source tracking, and your weekly campaigns rebuilt in Pabau.
Training, then a named account manager
Unlimited one-to-one setup hours, evenings and weekends available, with a private support channel and account-manager cover through the transition.
Two links. One decision.
The proposal has the full line-by-line pricing. The order form locks it in at the rate quoted, adds your free month, and starts your migration.
