Advanced Aesthetics runs on PatientNow plus several disconnected applications for charting, booking, payments, lead management and marketing. Across the discovery call on 5 May and the demo on 2 June with Martin, the goal was clear: a single, browser-based system that runs the whole patient journey on one record. This document maps every requirement Brittan raised to a specific Pabau capability shown live in the demo.

Dated, application-based software
PatientNow has been the system for around eight years and is, in Brittan’s words, “just dated software”. It is application-based rather than web-based — a stated pain point for a team that wants to work from any device.
A stack of disconnected applications
Several separate applications are used to do what should live in one EMR. As Brittan put it, the team uses different apps “to accomplish something I wish we could seek within an EMR software”.
Manual lead management & fragmented payments
Inquiries and follow-up are handled manually, and payments are not processed through PatientNow at all. Leads, bookings and money sit apart, so data is re-keyed and follow-up slips through the cracks.
Marketing scattered across outside systems
Most marketing is sent through external tools rather than the patient record. Campaigns and recall sit away from the clinical system, so reporting and follow-up are stitched together by hand.
Charting, consent & sign-off add friction
Consent tracking is manual, including recurring consents such as laser hair, and getting a nurse’s treatment note to the medical director for sign-off is a stitched-together step rather than a clean workflow.

Manual consent tracking doesn’t scale
Recurring consents — laser hair removal being the obvious one — are tracked by hand today. As volume grows, manual consent quickly becomes a compliance risk rather than a quick admin task.
Charting & sign-off shouldn’t be friction
Treatment notes and medical-director sign-off are part of every clinical day. When they sit outside one record, each note is an extra handoff between provider, director and front desk.
