Cliniko, plus a CRM you built yourselves

Bookings sit in Cliniko, lead handling in a self-built CRM, campaigns in Mailchimp, marketing leads routed in through Zapier. In Ewen’s words it is “all very disjointed” — and every join is a person moving data by hand.

Direct booking leaks almost everyone

One clinic was taking 350–400 enquiries a month and converting roughly eight of them through the embedded booking form. Enquiry forms plus a human callback lifted booking rate from about 10% to over 75% — but that fix costs staff time on every single lead.

Payments live outside the patient record

Cliniko doesn’t integrate with Stripe to the depth you need, so month-end invoicing becomes a job for the bookkeeper. Card takings run through Clover terminals that the clinical system never sees.

Practitioner pay reconciled on trust

Flat 50% commission is calculated in a spreadsheet wage calculator: practitioners enter their own booked appointments, then someone cross-checks the bank statement. As Ewen put it, discrepancies happen — “you never know”.

No memberships, no direct debit

You want recurring plans and direct debit for Pilates, yoga, S&C and ongoing rehab. Cliniko simply doesn’t have the capacity for it, so the recurring-revenue model stays on the whiteboard.

Marketing that doesn’t look like you

Cliniko’s built-in emails arrive unstyled, so campaigns get pushed to Mailchimp — an expensive subscription to run one campaign every two months, and another system holding a copy of your patient list.

Your proposal sets out the subscription, onboarding, training and support packages for 25 users across unlimited locations; the pricing structure link shows every package available so you can see what sits either side of it. On card fees: Martin has taken your Clover rates to our finance team to see what we can match through Stripe, and will come back to you separately. Phase 2 · Data & forms

Full Cliniko export, forms and templates rebuilt

Patients, history and appointments migrated from Cliniko by our team. Your existing intake forms and note templates rebuilt as digital, GDPR-compliant forms — “full export, full hands on deck”, as Martin put it.

Stripe, memberships, commissions and timesheets

Stripe configured for online payments, deposits and recurring memberships. Clover takings recorded as a named payment type so reporting is complete. Commission rules and timesheets set up so practitioner pay comes out of Pabau.
